TDS, SDS and COA: What does each document tell you?

Use these three document types to check technical suitability, safety information and the actual batch, building a traceable purchasing document package.

Technical article scene reference
Receiving three documents does not complete the review. TDS, SDS and COA address different questions: how the product is specified, what must be known for exposure, storage and transport, and what testing found for a particular batch. The purchasing objective is to make sure the documents, order and physical goods all identify the same product.

TDS: establish technical suitability first

A TDS usually describes properties, technical criteria and applications. Start with full name, model, active ingredient, physical form and uses, then distinguish typical data, sales specifications and recommended conditions. Ask suppliers to confirm missing methods or conditions rather than treat unspecified figures as guarantees for every operating condition.

For tablets, blended biocides and equipment-specific products, dimensions, additives, compatibility and approved equipment also matter. Compare each project requirement with the TDS and mark it as covered, needing clarification or incompatible. This gives technical clarification a defined outcome.

SDS: verify safety information for the actual formulated product

An SDS communicates hazards and protective measures. Oregon OSHA’s official information lists its standard sixteen sections, covering identification, hazards, first aid, handling and storage, exposure protection, stability, transport and other topics. Read it according to job needs; procurement and warehouse personnel should particularly verify formulated-product identification, packaging and transport, and incompatible materials.

Check the document language, applicable market, supplier contact details and revision information against the product being supplied. A raw-material SDS may not describe a blended product. Mention of a use in an SDS does not by itself establish approval for that use.

COA: connect the report to the batch you receive

A COA is the starting point for batch verification. Merck’s official document service retrieves certificates of analysis by batch number and explains that the number appears on the product label. At acceptance, match the package batch number, product grade and COA, then check the test items, methods, results, specification limits and release information.

Do not treat a blank template or a historical batch report as test results for the current delivery. If an agreed parameter is absent from the routine COA, establish additional testing and reporting arrangements before ordering. Results from different methods may also be unsuitable for direct comparison.

Cross-check the three documents

Compare names and models first, then constituents, content bases, forms and manufacturers. If a TDS describes one raw material while the SDS lists other components, or the COA model differs from the order, request supplier explanations and matching versions. Document differences do not necessarily mean nonconformity but require traceable explanations.

Review intended-use or market-access documents separately, checking the document holder, covered products and scope. Reach distinct conclusions on technical suitability, safety information, batch quality and eligibility for the intended use to support a complete purchasing decision.

Build a document package you can reuse

Archive TDSs, SDSs and use documents by product model, then COAs, label photographs and acceptance records by delivery batch. Keep versions or batch numbers in filenames and separately record receipt and review dates. Download dates are not original publication dates. Recheck relevant content when suppliers change models, formulations or packaging.

Does having an SDS establish suitability for drinking water?

No. An SDS provides safety information. Drinking-water suitability also requires intended-use and relevant quality documents for the specific formulated product.

Do we need a new TDS for every batch of the same product?

Previously reviewed documents can be reused if the revision has not changed, but each batch COA must still match the physical batch number. Reassess technical or safety documents when they are updated.
